AI has its place in your cold email toolset, but we shouldn’t use it for automation only. It can and should serve to make your messaging more relevant in a scalable way.

This article covers specific step how AI can supercharge cold emailing.

You don’t have to follow all the steps, and can pick and chose what works for you.

Practical Steps to AI-powered Cold Emails

Step 1: Document Key Context

Just like you, AI needs to understand who your recipients are, what they care about, and how you can help them with your products & services. Document these in great detail:

  • Who your ideal customer is
  • What problems you’re addressing
  • What the solution you’re offering is
  • Your unique value proposition

Step 2: Figure out a Goal for Your Campaign

Before you let AI loose on copywriting, decide exactly you want to accomplish. Do you want to book demos, validate interest, or route prospects to a piece of content? Defining a single, measurable objective shapes your call-to-action so it’s clear and friction-free.

With some campaigns, there are multiple CTAs you can try, and figuring out the best one takes time. Using AI, you can create quick previews of the same email with varying CTAs, and anticipate how your recipients will react.

If you need help to formulate or get multiple options, ask your AI and prompt for it to get it crisp.

Step 3: Determine the Tone of Voice

Tone of voice represents subtle, yet significant, changes in your messaging. Changing the tone of voice doesn’t change anything about your offer, but it impacts how you come across. Even a perfect message can flop if it “sounds” wrong. AI makes it painless to create voice variants that are wildly different from your typical voice.

Tone of Voice Prompt Example:

You are a worldclass copyrighter and you give excellent advise around writing style and tone to use that is perfectly matching our branding and our target customer. Provide provide a style description that we can use to generate cold email letters to our customers.

Our target customer: <ICP>..</ICP>

Keep it to 1 paragraph.

Step 4: Find out What Your Target Audience Cares About

It’s important that the message is about something they care about, it has to be relevant.

What is Relevant Prompt Example:

List the top pains and desired gains (as in the Value Proposition Canvas)
for a {your ICP}.
Rank each pain/gain on a 1–5 scale based on how pressing and how common it is.

Remember that segmenting your target audience is key here.

Step 5: Make a Tailored Email Template

Tailor the template to matching perfectly your story and your uaidence. Use AI to provide a template with sooe of the information already collected.

Email Template Prompt Example:

Always use sentence case for the subject lines.
Focus the subject line on the problem I’m addressing in a way that generates curiosity.
Write a cold email that’s focused on a relevant problem or need, hyperspecific to the recipient based on the ICP.
Write in the following style: <yourstyle>put here your style</yourstyle>
Make it look like an inbound email.

Step 6: Personalize the Email

Now , it’s time to personalize the email with what you know about the real person you are sending this to.

You are a world-class BDR, expert in cold emailing that works. Personalize to the indvidual that we are sending the email to.

Detail about the Person: <person> what you know about the person</person>
Respect the style and the length of the orginal email.
 

Step 7: Evaluate with Synthetic Feedback

This is my favorite step: in AI world they call it the Evaluator – Optimizer agentic workflow. You basically ask a model to give feedback and response. This commonly serves 2 goals

  1. Guardrail: it is a common technique to prevent that any inappropriate or harmful content is sent out
  2. Quality improvement: you can ask a model to give suggestions to improve the mail or even better to act as a potential recipient and generate a reaction from that fictive person on your email. This will help you to improve your email.

Quality Evaluation Prompt Example:

You’re an expert cold email coach and copy analyst. Your job is twofold:

Part 1: Validate Cold Email Quality

I will give you a cold email. Your task is to validate the following, in a concise report:

    1. Is the email professionally written and on-topic for its intended audience?
    2. Does it contain any inaccuracies, exaggerations, or false claims?
    3. Are there any problematic or inappropriate phrases, tone issues, or language that could be considered unprofessional, disrespectful, or offensive?
    4. Highlight anything that may be confusing or misleading for the reader.

Return your evaluation in the following format:

Cold Email Quality Check Report
    • Professional tone: [yes/no] – [reason]
    • On-topic: [yes/no] – [reason]
    • Inaccuracies or unverified claims: [list them]
    • Inappropriate or off-tone language: [list them]

Part 2: Synthetic Recipient Feedback Simulation

Now assume the email is targeted at this persona:

Generate 5 synthetic recipient personas that fit this profile. For each one:

    • Give them a name and short background (age, situation, farm size, mindset)
    • Predict their likely reaction to receiving the email (e.g., positive, confused, skeptical, annoyed, curious…)
    • Briefly explain why they’d react that way
    • Include a “Would they respond?” field with yes/no/maybe

Format each synthetic persona response like this:

Recipient #1 – Marc, 52 – Classic dairy farmer near Diksmuide

    • Background: Owns 60 cows, pragmatic, dislikes paperwork, values trust and simplicity.
    • Reaction: Curious – appreciates the relevance, likes that someone offers help without jargon.
    • Would they respond?: Yes

At the end, add a summary with common themes in the reactions and 1 or 2 ideas to improve resonance with this specific audience.
